Opening of Transaction file
- Review contract for completed dates, initials, signatures and required disclosures, riders, and addenda are included.
- Send introduction email with executed contract and timeline of important deadlines to all parties.
- Ensure initial deposit is complete and obtain an escrow letter.
During the Transaction
- Track the timeline and ensure deadlines are met (loan commitment, inspection period, escrow due dates, title commitment).
- Upload all documents to the agent’s transaction coordinator management service portal.
- Obtain HOA contact information
- Confirm that inspection(s) are scheduled within the time frame of contract.
- Confirm date/time of appraisal.
- Maintain regular contact with cooperating agent, title company, HOA, and loan officer for status updates and outstanding items.
- Confirm escrow deposit has been made and obtain receipt.
- Confirm home warranty has been ordered.
- Send weekly update reports via email.
Closing of Transaction
- Confirm the clear to close (CTC) status and that the Lender sent the closing package to the Title company.
- Confirm date/time of final walk through and closing.
- Coordinate wire instructions, confirm escrow receipt.
- Submit approved CDA to title.
- Upload final HUD/CD to transaction management service.
- Confirm closing appointments were successful & funding occurred
- Ensure brokerage compliance is complete & share the final drive folder with the agent.
- Ensure the client has utility transfer information.
- Send a thank you email to all parties 1 week after closing. This includes a link to your preferred review site.
Agent Responsibilities
- Provide fully executed contract, addendums, MLS printout, and Tax Record.
- Confirm list of required disclosures, riders for contract.
- Provide contact information for all parties of the contract.
- Deliver escrow deposit (as applicable).
- Schedule and attend appointments -inspection, appraisal, final walkthrough, closing.
- Perform contract negotiations and send updated contract or addendum to TC.
- Remove lockbox and signs (as applicable.
Listing Management
- Review all listing documents for accuracy and completeness.
- Obtain the MLS input form from the Agent.
- Gather property information from the Seller and tax records.
- Request and record HOA contact information, documents, application and transfer process
- Schedule Photographer and other service providers for pre-marketing preparation.
- Input MLS data, upload photos and attachments for Agent review. Agent to provide descriptions/remarks.
- Download MLS listing copy in Coming Soon and Active Statuses, and submit to the Broker compliance app.
- Obtain approval of the listing from the Agent and send MLS listing Authorization form to the Seller for their signature, approving the listing.
- Activate the Listing and set up showing instructions and open house(s) as applicable.
- Upload all listing documents to the Broker compliance system for record-keeping.
- Update MLS listing status at applicable timepoints.
*Additional MLS fees may apply, in order to have an administrative login for your profile.

Compliance Only
- Upon executed contract: collect, review and organize contracts and related documents for completion and compliance; obtain missing signatures, information and documents; upload to Broker compliance app and set up transaction. Send Agent calendar invites for all deadlines and send Agent reminder emails or texts the morning before deadlines.
- One week before closing; compliance audit, request any additional documents to complete the file, upload docs to Broker compliance app, and complete/submit Broker’s disbursement form or checklist.
- After closing: collect closing documents and upload to Broker compliance app, upload all transaction documents to Agent’s file storage app.
Showings
- Send a pre-showing checklist to the seller.
- Confirm the seller and pets will not be home for showing.
- Confirm scheduled showing with potential buyer.
- Share marketing tools with potential buyers that you provide.
- Provide your business contact.
- Time cap for a single home showing is 1 hour.
Open House
- Send a pre-showing checklist to the seller.
- Post open house information and marketing tools you provide on the business page.
- Confirm the seller and pets will not be home during the open house.
- Arrive early to wipe general surfaces and stage home.
- Man open house for 4 hours.
- Share marketing tools with potential buyers that you provide.
- Share your business contact.
- Provide you with feedback from potential buyers.
Admin/Special Projects
- Reverse Prospecting.
- Marketing brochures, postcards, ect. (1 re-edit allowed).
- Organizing office files.
- Ask if you have a special project in mind!

- Link to your active TC file’s checklist with 24/7 viewing access so you can check the status of your file anytime.
